Terms of Service

These Terms of Service govern your use of Earnhouse, operated by Earnhouse Ltd (Company No. 17181055), a company registered in England and Wales. By creating an account or using the platform you agree to these Terms in full.

1. The Service

Earnhouse provides job management software for tradespeople, including scheduling, quoting, invoicing, client management and payment processing, delivered via web and mobile application on a subscription basis.

2. Account Registration

You must be at least 18 years old to create an account. You are responsible for the security of your credentials and all activity under your account. You must provide accurate information and keep it up to date.

3. Subscriptions & Payment

  • Subscriptions are billed monthly or annually in advance.
  • Prices are in GBP and inclusive of VAT where applicable.
  • Your subscription renews automatically unless cancelled before the renewal date.
  • Cancellation takes effect at the end of the current billing period — you retain access until then.
  • We do not offer refunds for partial billing periods, except where required by law.
  • We reserve the right to change pricing with 30 days' notice. Continued use after that date constitutes acceptance.

4. Free Trial

New accounts receive a 14-day free trial with full access to the selected plan. No payment details are required to start. At the end of the trial you must enter payment details to continue. Unused trial days are not carried over.

5. Acceptable Use

You agree not to use Earnhouse to violate any law, upload malicious code, spam clients, gain unauthorised access to systems, or reverse-engineer any part of the platform.

6. Intellectual Property

Earnhouse and all associated trademarks, software and design are owned by or licensed to Earnhouse Ltd. You are granted a limited, non-exclusive licence to use the platform for your internal business purposes. You retain ownership of all data you upload.

7. Limitation of Liability

To the maximum extent permitted by English law, Earnhouse shall not be liable for indirect, incidental or consequential damages. Our total liability in any 12-month period shall not exceed the fees paid by you in that period.

8. Governing Law

These Terms are governed by the laws of England and Wales. Disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Privacy Policy

Earnhouse Ltd is the data controller for personal data processed through this platform. This policy explains what we collect, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.

Data We Collect

  • Account information: name, email, business name, trade type, phone number.
  • Billing information: payment method details processed securely by Stripe. We never store full card numbers.
  • Business data: clients, jobs, quotes, invoices and other content you create.
  • Usage data: pages visited, features used, device type, browser, IP address and session duration.
  • Communications: support tickets and emails you send to us.

How We Use Your Data

  • To provide, maintain and improve the Earnhouse platform.
  • To process payments and manage your subscription.
  • To send service communications (account updates, invoices, security alerts).
  • To send marketing emails where you have opted in.
  • To comply with legal obligations and prevent fraud.

Data Sharing

We do not sell your data. We share it only with trusted processors needed to run the platform: Supabase (database), Vercel (hosting), Stripe (payments), Resend (email), and accounting integrations only when you connect them.

Data Retention

We retain account data while your account is active. After deletion, data is held for 30 days for recovery then permanently deleted. Financial records may be retained for 7 years as required by law.

Your Rights

Under UK GDPR you have the right to access, rectify, erase, restrict or port your data, and to object to processing. Email hello@earnhouse.co.uk — we will respond within 30 days.

Cookie Policy

Earnhouse uses cookies to operate the platform and understand how it is used.

Cookies We Use

  • Essential cookies — required for authentication and session management. These cannot be disabled.
  • Analytics cookies — help us understand which features are used. No personally identifiable data is shared.
  • Preference cookies — store your settings such as dark mode.

We do not use advertising or third-party tracking cookies.

Managing Cookies

You can control cookies through your browser settings. Disabling essential cookies will prevent you from logging in. To opt out of analytics, email hello@earnhouse.co.uk.

GDPR

Earnhouse Ltd is committed to compliance with UK GDPR and the Data Protection Act 2018. We are registered with the Information Commissioner's Office (ICO).

Your Rights Under UK GDPR

  • Right of access — request a copy of personal data we hold about you.
  • Right to rectification — ask us to correct inaccurate or incomplete data.
  • Right to erasure — request deletion where there is no legitimate reason to continue processing.
  • Right to restriction — ask us to pause processing in certain circumstances.
  • Right to data portability — receive your data in a structured, machine-readable format.
  • Right to object — object to processing based on legitimate interests or for direct marketing.

Exercising Your Rights

Email hello@earnhouse.co.uk with your name and account email. We will respond within 30 days. We may ask you to verify your identity first.

Complaints

You have the right to lodge a complaint with the ICO at ico.org.uk or by calling 0303 123 1113.

Security

The security of your business data is fundamental to everything we build. Here is how we protect it.

Infrastructure

Earnhouse runs on Vercel (SOC 2 Type II) and Supabase (SOC 2 Type II), both of which maintain industry-standard security controls across enterprise-grade, multi-region infrastructure.

Encryption

  • All data in transit is encrypted with TLS 1.2 or higher.
  • All data at rest is encrypted with AES-256.
  • Passwords are hashed with bcrypt and never stored in plaintext.
  • Authentication tokens are short-lived and rotated regularly.

Access Controls

Access to production systems requires multi-factor authentication and is restricted to authorised personnel only. We follow least-privilege principles — employees access only what their role requires. All access is logged and audited.

Payments

Payment processing is handled entirely by Stripe, a PCI DSS Level 1 certified provider. Earnhouse never stores full card numbers or sensitive cardholder data.

Vulnerability Disclosure

If you discover a security issue, please report it responsibly to hello@earnhouse.co.uk. Please do not publicly disclose it until we have investigated and resolved it. We are grateful for responsible disclosure.

Incident Response

In the event of a breach affecting your personal data, we will notify you and the ICO within 72 hours as required by UK GDPR, including what happened, what data was affected, and the steps we are taking.
