Tender by earnhouse
From the call-out to the paperwork.
Customer details, call-outs, quotes and invoices: Tender brings the moving parts of an independent plumbing business into focus. Here’s a practical example, from a leaking tap to the final paperwork.
Before the visit
For a leaking kitchen tap, record the address, the customer’s description and the access arrangements. Establish whether the visit is diagnosis only or includes agreed replacement work. Keep the scope clear before promising a fixed total.
Quote the actual work
After assessing the job, separate labour, parts and any exclusions in the quote. If an isolation valve also needs replacing, explain the change and agree it with the customer. Keep the final scope with the job so the invoice reflects what was agreed.
Finish, invoice and check payment
When the work is complete, check the agreed scope against the invoice. Give the customer clear payment instructions and keep a record of what has been paid. A simple, repeatable process makes follow-up easier.
Keep records ready for bookkeeping
Keep the final invoice and payment evidence together for your bookkeeping. Tender’s accounting guides explain the handover to Xero or QuickBooks and how to keep it separate from tax filing and trade certification.
