Job Scheduler

Your whole week, at a glance.

The scheduler gives you a clear weekly view of every job, every team member, and every gap in your diary. Add jobs in seconds, drag to reschedule, and see exactly how busy the week is before you commit to anything new.

On Pro and Team plans, you can assign jobs to individual team members and see their schedules side by side — so no job gets double-booked and no tradesperson ends up on the other side of the city for back-to-back jobs.

How to use it

Open the Schedule tab

Tap Schedule in the bottom nav. You'll see the current week with all jobs laid out by day.

Add a new job

Tap the + button or tap an empty slot. Fill in the job name, client, date and time.

Reschedule by dragging

On web, drag any job card to a new day or time. On mobile, tap the job and edit the date.

Assign to a team member

On Pro plans, tap the job and select which team member it belongs to. Their name appears on the card.

Pro tips

  • Check the week view every morning — it takes 30 seconds and prevents surprises.
  • Add travel time as a buffer between jobs, especially across cities.
  • Use the job notes field to leave yourself reminders about access, parking, or special requirements.
  • Recurring jobs (like annual services) can be set up once and repeat automatically.

Quotes & Invoices

Professional documents. Sent in seconds.

Create a professional, branded quote in under two minutes. Add line items, adjust quantities, attach photos and set your payment terms. The client receives a link to their portal where they can review everything and sign digitally — from their phone, without downloading anything.

Once a quote is accepted, convert it to an invoice in one tap. Earnhouse carries all the details across — no re-entering, no copy-pasting. Send the invoice, client pays, job done.

How to use it

01

Create a quote from a job

Open any job and tap 'Create Quote'. Your business details fill in automatically.

Add line items

Add materials, labour and any other costs as separate line items. Earnhouse calculates the total including VAT.

Send to client

Tap Send. The client gets an email or SMS with a link to view and sign the quote.

04

Convert to invoice

Once accepted, tap 'Convert to Invoice'. Set payment terms and send — done.

Pro tips

  • Add photos of the problem you're quoting on — clients appreciate the transparency and it protects you.
  • Set payment terms on every quote, not just the invoice. "Payment due on completion" is unambiguous.
  • Use descriptive line items. "Labour — day 1" and "Labour — day 2" is more professional than one big "Labour" line.
  • If you regularly quote for the same type of job, save a quote template to speed things up.

Client Portal

Give every client their own front door.

Every client on Earnhouse gets a private portal — a dedicated page where they can see their jobs, view and sign quotes, approve add-ons and pay invoices. No account needed. No app to download. They access it via a secure link you send them.

The portal makes your business look professional and removes the friction from every interaction. Clients pay faster because it's easy. They sign quotes quicker because they can do it from the sofa. And you stop being the one chasing.

How to use it

Add a client

Go to Clients and add the client's name, email and phone. Earnhouse creates their portal automatically.

Send them the link

From the client's profile, copy their portal link and send it via WhatsApp, email, or SMS.

They view everything

The client sees all their jobs, quotes and invoices in one place — updated in real time.

They sign and pay

Quotes can be signed digitally. Invoices have a Pay button. No phone calls needed.

Pro tips

  • Send the portal link in your very first message to a new client — it immediately sets a professional tone.
  • For repeat clients, the portal builds up a full history of every job you've done for them.
  • Enable Stripe payments so the Pay button works — it's the biggest single thing you can do to get paid faster.
  • Clients can see job status updates (scheduled, in progress, complete) without you having to message them.

Revenue Dashboard

Know exactly where you stand, always.

The revenue dashboard gives you a clear picture of your money: what you've invoiced, what's been paid, and what's outstanding or overdue. Filter by month, see monthly trends, and identify which clients owe you what — all without touching a spreadsheet.

It's not a replacement for an accountant. But it means you always know your approximate monthly run rate, which clients are dragging their feet, and whether you've had a good month — before your accountant tells you three months later.

How to use it

01

Open Money

Tap Money in the bottom nav. The dashboard loads with the current month's figures.

Check outstanding invoices

The Outstanding section shows every unpaid invoice. Tap any to send a payment reminder.

Review overdue invoices

Overdue invoices are flagged separately. Act on these first — the longer they wait, the harder they are to collect.

Track month-on-month

Switch months using the filter to compare your performance over time.

Pro tips

  • Check the dashboard every Monday morning. 5 minutes of awareness prevents a month-end cash flow shock.
  • Chase overdue invoices the day they go overdue — not a week later. The sooner you chase, the easier it is.
  • Use the client filter to see a full history of what any given client has paid you over time.
  • If your Xero or QuickBooks integration is connected, the dashboard pulls live reconciled data.

Card Payments

Get paid in seconds, not weeks.

Connect Stripe to Earnhouse and every invoice gets a Pay button. Clients click, enter their card details, and the money is on its way. Funds typically reach your account within 1–2 business days. No awkward bank transfer instructions, no waiting for a cheque, no chasing.

Payments are processed by Stripe, a PCI DSS Level 1 certified provider trusted by millions of businesses worldwide. You keep everything above Stripe's standard transaction fee. There are no monthly costs from Earnhouse for using payments — you only pay when you get paid.

How to set it up

01

Go to Settings → Payments

Open the app, tap Settings, then Payments. You'll see the Stripe connection option.

Connect your Stripe account

Tap Connect Stripe. If you have an existing account, log in. If not, create one — it takes 5 minutes.

Send an invoice

Every invoice you send from now on will include a Pay button linked to your Stripe account.

Get paid

Client clicks Pay, enters their card, and you receive an instant notification. Funds clear in 1–2 days.

Pro tips

  • Always include the payment link — even for clients you think will pay by BACS. Having the option often means they use it.
  • Set payment terms of 7 days for domestic jobs. Net 30 is unnecessary and just gives clients an excuse to delay.
  • If a client hasn't paid after 3 days, the one-tap payment reminder in the dashboard goes straight to the Pay button.
  • For regular clients, consider asking them to save their card details for future invoices — Stripe supports this.

Xero & QuickBooks

Your accounts, always up to date.

Connect Earnhouse to Xero or QuickBooks and your invoices and payments sync automatically. No exporting CSVs, no manual entry, no reconciliation headaches. Every invoice created in Earnhouse appears in your accounting software. Every payment recorded in Earnhouse marks the invoice as paid.

For VAT-registered tradespeople, this makes Making Tax Digital compliance straightforward — all your records are digital, accurate and in the right place. For everyone else, it means your accountant gets clean data rather than a shoebox of receipts.

How to connect

Go to Settings → Integrations

Open Settings and tap Integrations. You'll see Xero and QuickBooks listed.

Tap Connect

Choose your accounting software and tap Connect. You'll be redirected to authorise the connection.

Map your accounts

Choose which Xero or QuickBooks account your Earnhouse invoices should sync to. Your accountant can advise if unsure.

04

Sync runs automatically

From now on, every new invoice and payment syncs in the background. No action needed.

Pro tips

  • Connect the integration before your next invoice cycle to get a clean run from the start.
  • Don't edit synced invoices directly in Xero — always edit in Earnhouse and let the sync update them.
  • Check the sync status in Settings weekly, especially around VAT return time.
  • Ask your accountant which nominal code your invoices should map to — 5 minutes of setup saves hours of corrections.
